User type: entity, fund and archivist administrator

The action records include the documentary traces of the most common operations carried out on the iARXIU platform by the different users in order to record and trace these events, for audit purposes.

These action records are automatically generated by the iARXIU platform and the types of events/actions recorded are the following:

  • Income
  • Migration
  • Sealed
  • Consistency
  • Transfer
  • Removal:
  • Total elimination
  • Partial removal
  • Selective emptying
  • Chronological sampling
  • Binaries removal
  • Restoration
  • Conservation
  • Import

Note:

The entity administrator can only consult the shares of their entity and its linked funds.

The fund administrator and archivist can only consult the shares of the fund they are managing.

Check the share register

When the administrator user queries the share register, the system shows in table form all the operations carried out on the PIAs, up to a maximum of 1000 shares. If this maximum is exceeded, the platform would show the 1000 most recent shares.

The fields to search are as follows:

  • Documentary body and collection
  • Documentary series
  • PIA identifier
  • Data from the PIT itself: file number, opening date, closing date, producer name, production unit.
  • Action:
    • Entry, migration, sealing, consistency, transfer, deletion, restoration, preservation or import
    • For the deletion action, it is possible to select the action subtype: total, partial, selective emptying, chronological sampling, or binary deletion.

Generation of the stock register list

From the results list, the administrator has the possibility of creating a report in Excel format. This is generated at the time of request and is downloaded to the client's browser. The data displayed are those shown in the list plus those specific to the PIA:
